Start a Simple Audio Conference from My Account Homepage
1. Login to your All Conferencing account.
2. Dial your toll-free, Dial-in Number shown in your Access Details to start either a domestic or an international conference.
3. At the prompt, enter the corresponding Moderator Passcode listed for the Dial-in Number you called to instantly connect.
Start a Simple Audio Conference from My Smartphone/iPhone
1. Dial your dedicated All Conferencing toll-free, Dial-in Number.
2. At the prompt, enter your All Conferencing Moderator Passcode.
3. At the next and final prompt, state your name and Press # to be instantly connected to the audio conference.
Start a Simple Web Meeting
1. Login to your All Conferencing account and click Start Instant Meeting.
2. The Meeting Details-New Meeting box appears.
3. Confirm your meeting details and invitees then click Start Meeting Now to instantly launch your Meeting Controller.
Start an Instant Meeting Related to a Project
1. Login to your All Conferencing account.
2. On your account homepage, go to Select a Project for your meeting then click Start Instant Meeting.
3. The Meeting Details box appears. Confirm your meeting details and click Start Meeting Now to launch your meeting.
Spontaneously Meet with a Particular Member of My Team
1. Click to open your Project Manager from your account homepage and select the project for your meeting.
2. Click the Create Meeting button to select an individual team member with whom you want to spontaneously meet.
3. Simply Confirm meeting details and click Start Meeting Now to instantly meet with this particular team member.
Change Presenters During My Meeting
1. Start a web meeting to launch Meeting Controller. Go to Web Controls and select Start Video Meeting Room.
2. In the Users window, select to highlight a meeting participant you want to give presentation authorization.
3. Use the Switch Presenter button on the Users window to switch presentation control to the selected participant.
Conduct a Poll During My Meeting
1. Start a web meeting to launch your Meeting Controller then click the Polls Tab to open the Polls Panel.
2. In the Polls Panel, click Add New Poll and click to enter Poll Name, Description, and text for each poll Choice.
3. Under Meeting Controls go to Polls and select Start Voting to open your poll for participant voting.
Have a Private Chat Discussion with a Particular Meeting Participant(s)
1. Start a web meeting to launch your Meeting Controller. Click Chat on the top menu bar.
2. In the Chat box click the Plus Sign tab and select a participant you want to Chat with privately to open a private Chat tab.
3. Click the Plus Sign tab again to select another participant to chat with privately.
Have Multiple Topic Forum Discussions During My Meeting
1. Start a web meeting to launch your Meeting Controller.
2. Go to your Files/Chats Panel and next to each file you want to discuss in an open forum, click the Share Icon.
3. Shared files now show in each participant's Files/Chats Panel. Meeting participants click Join Chat to participate.
Forum Chat discussions are also available to share, view and join, anytime between meetings, both on and offline
Control and Monitor My Meeting
1. Start a web meeting to launch your Meeting Controller.
2. In the Status & Controls Panel, use the Audio, Video, and Web Controls to control and monitor meeting functions.
3. Know who's talking, lock meeting, share documents, conduct polls, record meeting, send invites, call-to-join, and more.
Monitor Participant Actions
1. Start a web meeting to launch your Meeting Controller.
2. The Participants Panel identifies all meeting attendees, their role, and their meeting participation status.

Control Participants' Web, Audio, and Video Connections
1. Start a web meeting to launch your Meeting Controller.
2. The Participants Panel identifies each meeting participant's' web, audio, and video connection status.
3. Click a participant's Connected link to access their controls for hold, mute, drop call, move to subconference, and more.
Monitor Video Participation
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel you can monitor each participant's video connection.
3. On the Status & Controls Panel, use Video Controls to share, view, and monitor video participation.
Prevent Meeting Interruptions (Lock Conference)
1. Start a web meeting to launch your Meeting Controller.
2. On the Status & Controls Panel, under Audio Controls go to Security and select Lock Meeting.
3. This prevents late arrivals from connecting to the meeting. Select Unlock Meeting to allow a new arrival to connect.
Mute My Meeting
1. Start a web meeting to launch your Meeting Controller.
2. On the Status & Controls Panel go to Audio Controls and select Mute Meeting.
3. Select Unmute Meeting under Audio Controls to unmute all participants.
Mute a Meeting Participant
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel click the audio Connected link next to the person who's call you want to mute.
3. Click the Mute/Unmute Icon to enable or disable the mute function for that particular participant's audio connection.
Put a Participant's Call on Hold
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel click the audio Connected link next to the person who's call you want to put on hold.
3. Click the Hold/Unhold icon to enable or disable the hold function for that particular participant's audio connection.
Know Who's Talking
1. Start a web meeting to launch your Meeting Controller.
2. On the Status & Controls Panel, under Audio Controls go to Talker Notification and select Start Talker Notification.
3. Click the audio Connected link to monitor each participant's Talker Status icons which change to blue when they speak.
Adjust a Participant's Voice Level
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel click the audio Connected link next to the person who's voice level you want to adjust.
3. Click the Voice Level Up/Down buttons to adjust the volume of that participant's voice up or down during the conference.
Adjust a Participant's Hearing Level
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel click the audio Connected link next to the person who's voice level you want to adjust.
3. Click the Listen Level Up/Down buttons to adjust the volume of the conference up or down for that participant.
Drop a Participant from My Meeting
1. Start a web meeting to launch your Meeting Controller.
2. In the Participants Panel click the Audio Connected link next to the person who's call you want to drop.
3. Click the Drop Call icon to disconnect that particular participant's audio connection.
Have a Personal Executive Assistant Administer My Meeting
1. From your account homepage click Make an Executive Service Request, or call or text the Executive Service number.
2. A live professional admin will be at your assistance who is expert at arranging meetings and can conduct them for you.
3. Executive Services are free and available M-F during normal business hours US PST.

Schedule a Conference to Take Place at a Future Date
1. Click Schedule Future Meeting from your account homepage then click on the Calendar tab to open your schedule.
2. Select the day and time for your meeting and enter the Meeting Details i.e. attendees, invites, and reminders.
3. Clicking Send automatically schedules meeting, saves meeting information, and sends all invites to selected attendees.
Start an Instant Meeting from My Scheduling Calendar
1. Click to open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Meeting Services or Drag-n-Drop it onto Meeting Services in the left sidebar.
3. Confirm meeting details in the box that appears, then click the Launch Meeting Controller button to instantly meet.
Instantly Add Audio and/or Web Conferencing to a Scheduled Calendar Appointment
1. Click to open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Meeting Services or Drag-n-Drop it onto Meeting Services in the left sidebar.
3. Confirm the meeting details in the box that appears, then click the OK button to add conferencing to your appointment.
Schedule Recurring Meetings
1. Open Meeting Manager from your account homepage and click the Calendar tab then select New Appointment.
2. Enter the Meeting Details and Time. When entering the Time details, click the drop-down menu next to Repeat.
3. Here you can select and customize the recurrence of this meeting. Click Save to save meeting information and settings.
Automatically Negotiate a Meeting Date and Time with My Team
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right Click on an appointment and select Negotiation Services to open the Negotiation Tool.
3. Choose up to 4 alternate meeting dates and times then click OK. Attendees will automatically arrive at a consensus vote.

Instantly Dial-out to Someone to Join the Current Meeting
1. Login to your All Conferencing account and click Start Instant Meeting to go to setup and start Meeting Controller.
2. Click on Dial Pad at the top menu bar to open the dialer, enter a participant's phone number, then click Call.
3. When you click Call, the participant will instantly receive a phone call that prompts them to connect to the meeting.
Have the Meeting Automatically Call Me to Join
1. Login to your All Conferencing account and click Start Instant Meeting to open the Meeting Details window.
2. Put a checkmark in the box next to Automated Dial-out to Moderator and confirm your phone number to be called.
3. Click on Start Meeting Now to instantly receive a call that automatically connects you to your audio conference.
Have the Meeting Automatically Call Others to Join
1. Login to your All Conferencing account and click Start Instant Meeting to go to setup and start Meeting Controller.
2. Click on Dial Pad at the top menu bar to open the dialer, enter a participant's phone number, then click Call.
3. When you click Call, the participant will instantly receive a phone call prompting them to connect to the meeting.
Instantly Notify My Group the Urgent Need to Meet Now
1. Click to open Meeting Manager from your account homepage.
2. Double-click on the Instant Meeting link in the left sidebar menu to open the Instant Meeting setup window.
3. Enter meeting details, select attendees to instantly invite, then click Launch Meeting Controller to instantly meet.
Instantly Send an Automated Text Message Inviting Someone to Join the Current Meeting
1. Click to open Meeting Manager from your account homepage and double-click on Instant Meeting in the left sidebar.
2. In the Instant Meeting box, enter the meeting details then open the Instant Invites tab and go to SMS Invite.
3. Add Cell Numbers for invitees you want to send an SMS invite. Click Open Meeting to send invites to join the meeting.
Instantly Send an Automated Email Inviting Someone to Join the Current Meeting
1. Login to your All Conferencing account and click Start Instant Meeting to go to setup and start Meeting Controller.
2. In the Status and Controls panel, go to the Meeting Controls menu and select Send Participant Invite.
3. Enter the participant's email and click Send. They will instantly receive an email with the information to join the meeting.
Invite Participants to a Scheduled Conference
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Rick-click your scheduled appointment and select Open to open setup and enter or select Attendees.
3. After selecting or entering attendees, click Send to automatically send invitations with the meeting information.
Invite International Participants to a Meeting
1. Click to open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click a scheduled appointment and select Meeting Services to open the setup window.
3. Checkmark International Callers and a toll-free dial-in number will be made available to each out of country invitee.
Customize My Automated Text Invitations
1. From your account homepage, click to open Meeting Manager then double-click on Invite Services in the left sidebar.
2. Enter Invite Information. At SMS Invite, checkmark the box, then at the SMS Message text box, compose your message.
3. In the Invitees tab, enter email addresses and cell numbers for your invitees then click to Save Invite or Send Invite.
Customize My Automated email Invitations
1. From your account homepage, click to open Meeting Manager then double-click on Invite Services in the left sidebar.
2. Enter Invite Information and in the Email Message text box, compose the custom email you want to send.
3. Go to the Invitees tab and enter email addresses for your invitees then click to Save Invite or click to Send Invite.
Know Whose Accepted My Meeting Invitation (RSVP)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Rick-click your scheduled appointment then select Open to open the Appointment window and Show the Scheduler.
3. Use the color Key to see which attendees have accepted, declined or tentatively accepted your meeting invitation.

Send Reminders to Invitee(s)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Setup Email, Phone and SMS reminders with option to customize message, time, and frequency for any or all attendees.
Send an Automated Text Message Reminder to Invitee(s)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Click the SMS Reminder tab. Keep or change default settings. Click OK to instantly program all reminders.
Send an Automated Email Reminder to Invitee(s)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Rick-click your scheduled appointment and select Open to view your Appointment Details.
3. At the Reminder drop-down menu select the minutes before the meeting to send reminders to attendees. Click Save.
Send an Automated Phone Call Reminder to Invitee(s)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. The Phone Reminder tab is already open. Keep or change default settings. Click OK to instantly program all reminders.
Customize My Automated Reminder Text Message
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Click the SMS Reminder tab. Select Custom and compose your custom message in the Text Message box. Click OK.
Customize My Automated Reminder Phone Message
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Click the Phone Reminder tab. Select Custom to have simple recording instructions emailed to you. Click OK.
Specify When Meeting Reminders Will be Received by the Group
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Select a Reminder Time period before the meeting to send reminders. Checkmark Remind All Attendees. Click OK.
Specify When Meeting Reminders Will be Received by a Select Individual(s)
1. Open Meeting Manager from your account homepage then click on the Calendar tab to open your schedule.
2. Right-click on an appointment and select Reminding Services or Drag-n-Drop it onto Reminding Services in the sidebar.
3. Select Reminder Time. Uncheck Remind All Attendees. Enter attendee(s) phone numbers to be sent this reminder.

Share Meeting Files During My Meeting
1. Start a Web Meeting to launch your Meeting Controller.
2. Go to your Files/Chats Panel and next to each file you want to share, click the Share Icon.
3. Shared files show in each participant's Files/Chats list indicated by the change in the Share Icon from red to blue.
Share My Desktop
1. Start a Web Meeting to launch your Meeting Controller. Go to Web Controls and select Start Video Meeting Room.
2. Click the Share My Desktop Icon to open the sharing setup window.
3. Select to share your full screen or a just a region of your screen, then click Start Sharing to share your selection.
Share My Webcam
1. Start a Web Meeting to launch your Meeting Controller. Go to Web Controls and select Start Video Meeting Room.
2. Click the Webcam Icon to open the webcam setup window and select the webcam you want to share.
3. Click the Start Sharing button to begin sharing your webcam.
Upload a Presentation
1. Start a Web Meeting to launch your Meeting Controller. Under Presentation Controls select Add New Presentation.
2. In the Upload Presentation box, enter Presentation Info then click Add to open the Upload Presentation interface.
3. Click Done when finished. Find the uploaded file in your Meeting Controller files list and click the Present Icon to share.
Deliver a Presentation Using Document Markup Tools
1. Start a Web Meeting to launch your Meeting Controller. Go to Web Controls and select Start Video Meeting Room.
2. Click the Upload Document icon at the bottom left of the Presentation box to upload a file to present for collaboration.
3. Click the Markup Toolbar Icon at the bottom right of the box to popout the Markup Toolbar and select from many tools.
Only Share Certain Files with Certain Participants
1. Click to open Project Manager from your account homepage then click on the Project you want to manage.
2. Go to you Project's Resources tab to see your list of uploaded files for this project.
3. Click the Share Icon next to the individual participants you'd like to share the file with in meetings and collaborations.
Share and Stay Connected to Your Group Between Meetings
1. Click to open Project Manager from your account homepage then click the Project you want to manage.
2. Click the Add Members button to add participants to this Project.
3. Under the Resources tab, select files to share in collaboration and chat forums both during and between meetings.

Save and Reuse Meeting Settings
1. Click to open Meeting Manager from your account homepage.
2. Double-click on the Instant Meeting link in the left sidebar to open the Instant Meeting setup window.
3. Click Save Meeting to save meeting details for later use. Go to Saved or Recent Meetings to reuse meeting settings.
Record Meetings
1. Start a Web meeting to launch your Meeting Controller.
2. On the Status & Controls Panel, under Audio Controls go to Meeting Recording and select Start Recording.
3. Select Stop Recording to pause or end your meeting recording.
View Past Meeting Details, Event Logs, and Recordings
1. Click to open Project Manager from your account homepage and select one of your Projects.
2. Click on the Saved Meetings tab to see a list of past Project meetings, meeting dates and times, attendees, and more.
3. Click meeting Details to access event logs and recordings.
Conduct Recurring Meetings
1. Click to open your Project Manager from your account homepage and select the Project you want to manage.
2. Click the Saved Meetings tab to see a list of past meetings for this Project.
3. Click the Restart button to conduct recurring meetings using same settings, resources, files, and same participant list.

Upload and Securely Store the Files My Group Needs to Meet and Collaborate
1. Click to open Project Manager from your account homepage then click the Resources tab to open your Resource Panel.
2. Click on the Upload button to securely upload and store to the Cloud multiple files from your computer.
3. Uploaded files or Resources can now be organized into project Resource Groups and securely shared or unshared.
Create Project Groups
1. Click to open Project Manager from your account homepage then click the New Project link to create a new project.
2. Name your Project then click Add to create and begin managing this project in the Projects panel.
3. Click the Add Members button to add participants to this project. for meetings and file collaboration.
Assign Files to a Project Group
1. Click to open your Project Manager from your account homepage then go to Resource Groups.
2. Select the Project you want to manage.
3. Click the Add button next to each uploaded file from your Resources list you'd like to be available to this project group.
Only Share Certain Project Files with Certain Project Members
1. Click to open your Project Manager from your account homepage then click on the project you want to manage.
2. Go to you project's Resources tab to see your list of uploaded files for this project.
3. Click the Share Icon for the file next to the project members you'd like to include in this file's sharing forum.
Assign Participant Upload Privileges
1. Click to open Project Manager from your account homepage and go to Participant Uploads.
2. Click on New Uploader to add upload privileges to a particular participant for selected project resource groups.
3. Click on Update Profile to edit or change a participant's upload status for different projects.

Setup Your vCard: Gmail, Yahoo! and other Web Email Clients
1. Login to your online email account and open the email we sent you that contains your vCard as an attachment.
2. Click Import to Contacts next to the vCard attachment and the vCard will appear in your email contacts.
3. View the vCard by clicking on the All Conferencing vCard Link in your contacts and use the information to start meetings.
Setup Your vCard: Microsoft Outlook/Desktop
1. Open the vCard from any email account and click on the Download option.
2. A box will appear asking you to choose the download location. Leave the Open With radio button selected.
3. Make sure Microsoft Outlook is selected from the Open With drop-down list then click OK. Use the vCard to start meetings.
Access Your All Conferencing Contact in Gmail
1. Open your Gmail account.
2. On the left side of the screen, click Contacts and in the search box, type All Conferencing, then click the search button.
3. The All Conferencing contact box will appear with your meeting information and instructions to start meetings.
Change Your Password
1. Login to your All Conferencing account and click the My Profile link on the top menu bar.
2. On your Profile Page click the Change Password link below the top menu bar.
3. Verify your old password then enter your New Password and click Submit. You will receive an email confirming the change.
